What is Data retention policy?

A data retention policy defines how long a company keeps each type of data and when it is deleted, balancing legal obligations to retain records against the duty not to keep personal data longer than needed.

For HR data the tension is real: some records must be kept for years for tax and employment law, while GDPR says personal data should not be held longer than necessary. A retention policy resolves this per data type, with a defined end.

HREvio reflects this in its data lifecycle: after a subscription ends, data moves to a read-only state, then to archive, and is kept for a defined window before removal - so customers can reactivate without losing records, and nothing is kept indefinitely by accident.
